Our independent tour itineraries make excellent use of Gray Line Wests' established network of daily sightseeing tours and schedules. You will be traveling independently, without an escort, meeting different guests and a different driver/guide daily. Note: new friends you make on your tour may not be staying at your hotel or using the same services.
Bookings: Please choose your vacation, departure date, and hotel grade to match your requirements. For best vacation selection, reservations should be made at least 45 days prior to departure. Limited space is available up to a few days before departure, and may result in less satisfactory vacation arrangements due to lack of hotel or space availability in a particular resort or tour segment.
Last minute bookings: Depending on space availability, bookings can be made up to the date of departure. For bookings within 45 days, we will begin checking vacation availability ONLY if we have guarantee of payment (credit card number).
Rates: All prices quoted are per person and shown in Canadian dollars. It should be understood that the rates include our administration, planning and operational expenses. Rates do not include federal and, in Canada, provincial sales and goods and services (GST) taxes. All rates are subject to change without notice.
Taxes: Gray Line West quotes prices exclusive of GST. Non-Canadian residents who purchase their Gray Line West vacation from within Canada will be charged the full GST amount. A claim for partial rebate on the GST can be made with Revenue Canada.
Deposit: Gray Line West requires a deposit of 10% (but not less than $50 CDN or greater than $200 CDN) on a per person basis. Special event deposits may vary based on event.
Final payment: Final payment is required in our office 45 days prior to tour departure. Tours booked within 45 days of departure require a credit card number to guarantee full payment for the booking.
Form of payment: Gray Line West accepts VISA, MasterCard, and American Express or net agency check. Agency or personal cheques must be drawn on U.S. bank accounts. Any NSF cheques will incur a $35.00 CDN charge.
Documentation: Documents will be sent from our office 14 days prior to departure. If a late booking does not allow us to provide you with travel documents prior to your departure, they will be available from our representative at the point of arrival on your day of travel. All rush and/or overnight deliveries within the 14 days will incur an added surcharge at the customer's expense.
Changes to reservation: If you wish to make any changes to your reservation after confirmation, we will do our utmost to satisfy your requirements. For changes that result in a reduction of services and/or for changes within 40 days, a charge of $50 CDN per booking will be applied. If your change results in cancellation of any services and Gray Line West incurs charges, these charges will be applied to your account.
Disabilities: Gray Line West does not discriminate against persons on the basis of disability. Gray Line West requires that if you have any medical, physical and/or other requirements, these be brought to the attention of the representative when booking your reservations.
Meals: Vacations will include meals only when specified.
Gratuities: Hotel baggage gratuities are not included in price. Driver or guide gratuities are not included.
Cancellations/refunds (non-special events): All cancellations must be received in writing to Gray Line West and are subject to the following cancellation penalties.
- Cancellations received within 45 days of departure will incur a penalty of $50 CDN per person.
- Cancellations received within 30 days of departure will incur a penalty of 25% per person.
- Cancellations received within 15 days of departure will incur a penalty of 50% per person.
- Cancellations received within 7 days of departure will incur a penalty of 100% per person.
- Unused inclusions are non-refundable.
- No shows forfeit entire payment.
Cancellation responsibility: Gray Line West reserves the right to cancel all or part of the vacation in its reasonable discretion. If Gray Line West cancels the entire vacation, you will receive a full refund of amounts paid. If Gray Line West cancels a portion of the vacation due to weather or other reasons beyond its control, there will be no refund. For other partial cancellations by Gray Line West, you will receive a refund for the value of the cancelled portion, a value to be determined by Gray Line West in a fair and equitable manner.
Cancellation protection plan: Cancellation protection may be purchased through Gray Line West at a rate of 10% of the final package price, to a minimum of $50 CDN per person/per package. Cancellation protection is valid for any reason prior to 24 hours of the travel date. Within 24 hours, any cancellations made to the package are 100% non-refundable. There are no exceptions to this policy. Cancellation protection is non-refundable and may be purchased at the time of deposit only.
Seating/baggage: Motorcoach seating is not reserved or assigned. Gray Line West will not be liable for any loss, or delay of, or damage to baggage while not in its care. Nor will it assume any liability for any loss, delay or damage to breakable or perishable items, medicine, or other valuables. Gray Line West assumes no liability for property you may leave unattended in the passenger compartment of the coach either during or at the conclusion of the tour. All baggage must fit in the compartment of the coach. All baggage claims are subject to applicable tariffs.

Company liability policy: The purchase of a Gray Line West vacation or any portion thereof constitutes acceptance of these terms and conditions and limitations as to liabilities set forth herein. Gray Line West has made arrangements for the vacations. The carriers providing transportation services (other than Gray Line West), hotels and other suppliers providing tour services are independent contractors and are not the agents, employees or servants of, or joint ventures with Gray Line West or it affiliates. All certificates and other travel documents for tour services issued by Gray Line West are subject to the terms and conditions specified by the supplier and to the laws of the countries in which the services are supplied. All vouchers, coupons, receipts and tickets are issued subject to the terms and conditions specified by these suppliers.
By agreeing to utilize the services of Gray Line West, the guest agrees that neither Gray Line West or its affiliates, nor its or their employees or agents, shall be liable for any delay, inconvenience, loss of enjoyment, upset, disappointment, distress or frustration, whether physical or mental, resulting from the act or omission of Gray Line West or its affiliates, or its or their employees or agents. Further, the guest agrees that neither Gray Line West nor its affiliates, nor its or their employees or agents, shall be liable for any damage, loss, claim, cost or expense arising out of personal injury, accident or death, loss, damage or delay of baggage or other property, resulting from: (1) The act or omission on the part of any person other than Gray Line West or its employees; (2) Acts of God, sickness, theft, labor disputes, mechanical breakdown, government actions, weather, or any other cause beyond Gray Line West' direct control.
No person, other than a representative of Gray Line West authorized by a document in writing may vary, add or waive any term or condition, including any term or condition set forth in the preceding provisions. Written notice of any claim against Gray Line West must be received no later than 14 days after the date that services were provided to a guest.
